Who it is for

For companies that have a CRM but do not use it. Or use it in a way where half of the sales pipeline lives in the reps' heads and their inboxes. Another common case is a company with an off-the-shelf CRM that covers only part of the process, while the rest is handled in Excel and email. The state of a deal is then tracked down by phone, and when someone leaves, a piece of the workload leaves with them.

When a custom CRM pays off

An off-the-shelf CRM usually breaks in one of four situations. If at least one of them shows up in your company, a custom system is worth considering.

  • What you sell is something other than a deal. An estate agency manages properties, contracts and tenants; a service company manages equipment and its service history. An off-the-shelf CRM has no such object, so it ends up in the "notes" field.
  • Documents are an output. Contracts, protocols and timesheets should be produced from the data, with your own numbering sequences and your own wording. An off-the-shelf CRM can attach a PDF, but it usually cannot generate one according to your rules.
  • Work arrives by email. Enquiries, orders and complaints land in the inbox, and someone creates records from them by hand.
  • Something should happen on its own. A reminder three months before a contract ends, a reminder to a customer, an overnight recalculation of statuses. When it has to be reliable and connected to your data, it needs its own logic.

Who it is not for

If your sales can be described as a contact comes in, someone qualifies it, moves it through a few stages, sends a quote and the deal is won or lost, an off-the-shelf CRM will handle it. It gets you going faster, has a mobile app, email and calendar integration, and a vendor who keeps developing it. In that case, do not switch, and we will tell you so on the first call. There is also a middle way: keep sales in the off-the-shelf CRM and build only the part it cannot handle, connected via an API.

What we build

We build a custom CRM, or adapt and connect what you already have. We are a team from Bratislava and we build systems for companies in Slovakia. The CRM includes what your process needs, typically these parts:

  • Contacts and deals. In one place, so the state of a deal does not have to be hunted down in emails.
  • Pipeline. The sales stages mirror how your sales actually run.
  • Automation. Repeated tasks that someone does by hand today are done by the system.
  • Permissions. Roles and permissions decide who sees what, so everyone has their own work in front of them.
  • Documents. Contracts and other documents are generated as PDFs straight from the system.
  • Reporting. Overviews and charts of trends over time that you can use in a meeting.

Integrations

Website and forms, e-shop, marketing tools, invoicing. The goal is that a sales rep never has to retype the same thing in three places. In most cases, what you use today can be connected too. We go through what exactly on the first call and write it into the specification.

What we build on

We choose the technology based on what the system has to do, and the choice is part of the specification. The CRM in our references runs on Laravel with a MySQL database and an admin built in Filament.

Who owns the code and data

You do. The source code and the database are yours once the project is paid in full, and it is in the contract. You receive the repository and access at handover. With a CRM this matters even more, because the database holds your entire sales operation. So you can leave us: you can run the system yourself or hand it to another supplier.

How it works

  • Call, 30 minutes. We go through how you sell today, what you use and what holds you back. If an off-the-shelf CRM is enough for you, we will say so straight away.
  • Specification. We write down the process: who does what, in what order and what comes out of it. The result is a process map, scope, a fixed price and a timeline. It is ready within two to three weeks, and the document is yours even if you end up choosing an off-the-shelf CRM or another supplier.
  • Development. We build a custom CRM in 5 to 10 working days from the approved specification. We build in parts, so you see the first usable version before the whole system.
  • Data migration and launch. We migrate the data from the old system, launch, and hand over the code and the access.
  • Measurement and development. After launch we track the numbers we agreed on and keep developing the system.

What we have built

You will find the RentHub case study, a CRM for managing rentals and properties, below. Other systems from our references:

  • i-service.sk. A CRM system, you will find it among our references.
  • theachiw.com. A web application through which the client trains her clients, who share their successes with each other via a mini social network.

Pricing

Prices exclude VAT. You get the exact price after the specification, and then it holds. If the scope changes during development, we price the change and you approve it before we do it.

  • Basic CRM from €999. Contacts, deals and tasks, no integrations.
  • Custom CRM system from €4,999.
  • Custom CRM specification €1,299. If you also commission the build from us, we deduct its price from the project price.
  • Operations (SLA) from €49 a month, optional.

How we measure it

Whether people actually work in it, how many steps were removed, and whether you can tell where a deal stands without having to ask people. We agree on which numbers to track before work starts.

Common questions

What people ask us.

How much does a custom CRM system cost?

A basic CRM with contacts, deals and tasks, without integrations, costs from €999 excl. VAT. A custom CRM built around your process costs from €4,999 excl. VAT. It is preceded by a specification for €1,299, whose price we deduct from the project price if you also commission the build from us. We give an exact figure only after the specification, because until then the scope is not clear. An off-the-shelf CRM, by contrast, is paid monthly per user, and its price grows with headcount.

How long does CRM development take?

5 to 10 working days from the approved specification, depending on scope. You have the exact timeline in writing in the specification. We build in parts, so you see the first usable version before the final system.

Why not an off-the-shelf CRM?

If an off-the-shelf CRM fits you, it is the cheaper route and we will tell you so. A custom build pays off when you have a process that will not fit into a ready-made system, or when you pay more for customisation than you would for your own solution.

Will you migrate data from the old system?

Yes, data migration is part of the launch. In the process it usually becomes clear what state the data is in, so cleanup is often part of it.

Will the CRM connect to what we already use?

In most cases, yes. On the call we go through what you use and tell you what can be connected. The integrations then become part of the specification and the price.

Who owns the source code and data?

You do, once the project is paid in full. It is in your contract, and you receive the repository, data and access at handover. Nothing therefore blocks a move to another supplier.

Who looks after the CRM after launch?

You can run the system yourself or with another supplier; you have the access to do so. If you want us to do it, operations start at €49 a month excl. VAT and include uptime monitoring, security updates and backups. They are optional.

How does this fit with your AI services?

We build the CRM here. If you want automation and AI agents on top of it, for example scoring enquiries or preparing materials, we handle that in the AI systems and automation service.
